This Privacy Policy explains how Verto Fitness Pty Ltd (trading as Verto Coaching, ABN 66 676 469 677) — referred to as we, our and us — collects, uses, discloses and protects your personal information. It applies to www.vertocoaching.com, our coaching app, and any other service we operate. We manage personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). By using our services you agree to this Policy. Read it alongside our Terms & Conditions.
Who we are
We provide specialist online physique coaching, training and nutrition programs. We do not offer face-to-face training and we do not provide medical advice. We are the entity responsible for the personal information we hold about you.

Information we collect
We only collect personal information that is reasonably necessary to deliver and improve our coaching. This includes:
- Contact & account details — your name, email, phone number, postal address, date of birth, and login details for your account.
- Health & fitness information — details you provide so we can build your program, such as weight, height, body measurements, training and nutrition history, exercise activity, injuries or health conditions you disclose, and progress photos. See Health & sensitive information below.
- Payment information — billing details needed to process payments. Card and bank details are handled by our third-party payment processors; we do not store full card numbers.
- Content you submit — messages, forms, check-ins, survey responses, feedback and support requests.
- Usage information — how you interact with our website and app, including log data (see Cookies & log data).
If you do not provide the information we reasonably need, we may not be able to provide our services to you.
Health & sensitive information
Information about your health, body and fitness is sensitive information under the Privacy Act, which we treat with a higher level of care. We collect it only with your consent and only to design, deliver and adjust your coaching program.
By providing this information to us — for example through intake forms, check-ins, or by uploading progress photos — you consent to us collecting and using it for those purposes. You can withdraw your consent at any time by contacting us, though this may affect our ability to coach you effectively.
Progress photos. Photos you upload inside the app are used only to track your progress. We will never use them in marketing unless you separately send them to us by email or direct message, or post them publicly yourself. See the Advertising Release in our Terms.
How we use your information
We use your personal information to:
- create, verify and manage your account;
- build, deliver and adjust your coaching, training and nutrition program;
- communicate with you about your program, account, bookings and support requests;
- process payments and manage billing;
- improve our services, including through surveys and feedback;
- send you marketing about our products where you have not opted out (see below);
- maintain the security of our services and protect against fraud or misuse; and
- comply with our legal obligations.
We rely on your consent, the performance of our contract with you, and our legitimate business interests as the bases for these uses.
Marketing & SMS messages
We may send you marketing about our products and services. Every marketing email includes an unsubscribe option, and you can opt out at any time by contacting us. You cannot opt out of essential service messages about your account, bookings or billing.
SMS / text messaging
If you opt in to our SMS service, you agree to receive recurring text messages from us at the number you provide. Message frequency varies, and message and data rates may apply through your carrier. We do not sell, rent or share your SMS opt-in information or phone number with third parties for their own marketing. Consent to SMS is not a condition of purchase, and you can opt out at any time by replying STOP or contacting us.
Who we share your information with
We do not sell your personal information. We share it only where necessary to run our business, with:
- Service providers who help us operate — including our coaching-app platform provider, payment processors, email and SMS delivery providers, scheduling and CRM tools, hosting, and analytics. They may access your information only to perform services for us and are required to protect it and not use it for their own purposes.
- Professional advisers such as our accountants and lawyers, where reasonably required.
- Authorities or third parties where required or authorised by law, or to protect our rights, your safety, or the safety of others.
- A successor entity in the event of a business sale, merger or restructure (see Business transfers).
Overseas disclosure
Some of our service providers store or process personal information outside Australia. In particular, our coaching-app platform is hosted in the United States, and other providers (such as payment, email and analytics services) may also process your information in the United States or other countries where they or their infrastructure are located.
Before disclosing information overseas we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles. By providing your information to us, you consent to this overseas disclosure.
Cookies & log data
When you visit our website, our servers automatically record log data your browser sends — such as your IP address, browser type, the pages you visit, and the date and time of your visit.
We use cookies — small data files stored on your device — to operate the site, remember your preferences and understand how the site is used. You can set your browser to refuse cookies, but some parts of the site may not work correctly if you do.
Security
We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access, modification or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
How long we keep it
We keep your personal information for as long as needed for the purposes described in this Policy, or as required by law (for example, tax and financial records). When it is no longer needed, we take reasonable steps to destroy or de-identify it.
Access & correction
You can ask us to access the personal information we hold about you, or to correct it if it is inaccurate, out of date, incomplete or misleading. Contact us at team@vertocoaching.com and we will respond within a reasonable time. There is no charge to request a correction. If we decline a request, we will explain why in writing.
Children
Our services are for adults and are not directed at anyone under 18. We do not knowingly collect personal information from children under 18. If we learn that we have, we will delete it. If you believe a child has provided us information, please contact us.
Links to other sites
Our services may link to sites we do not operate. We are not responsible for the content or privacy practices of those sites, and we encourage you to read their privacy policies.
Business transfers
If our business is involved in a merger, acquisition, restructure or sale of assets, your personal information may be transferred to the successor entity, consistent with applicable privacy laws.
Complaints
If you have a concern about how we have handled your personal information, contact us first at team@vertocoaching.com. We take complaints seriously and will take reasonable steps to resolve yours.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or 1300 363 992.
YouTube API Services
We operate an internal publishing tool that uses YouTube API Services to upload videos to a YouTube channel we own and control. By authorising this tool, the account holder agrees to be bound by the YouTube Terms of Service.
This tool’s use of information received from YouTube API Services is described in this Policy and in the Google Privacy Policy.
What we access. With the account holder’s explicit OAuth consent, the tool reads the authorised Google Drive files and Google Sheets that hold our own video content and publishing schedule, and uploads videos to our own YouTube channel. We do not access, collect, or store data belonging to any other YouTube user.
What we store. We store only our own publishing records: which of our videos have been uploaded, when, the resulting video IDs, and any error states. We do not store YouTube user data, viewer data, or analytics about other channels.
Revoking access. The authorising account holder may revoke this tool’s access at any time via Google security settings.
Deletion. Stored publishing records are deleted on request, and automatically when the tool is decommissioned. Contact team@vertocoaching.com.
Changes to this Policy
We may update this Policy from time to time. When we do, we will post the updated version on this page and change the “last updated” date above. Please review it periodically.
